Short answer: A charcoal quotation should state the product specification, pack size, quantity, price with its delivery term, lead time and payment terms. Confirm each in writing before you approve the order.
A good quotation answers most of your questions before you ask them. A vague one leaves the real terms to be argued about after you have committed. Here is what to look for.
The product
The quotation should name the grade, the specification and the basis it is reported on, the cube size or briquette shape, and the pack format. If it says only “coconut charcoal”, ask for the rest in writing.
Quantity and minimum order
The minimum order quantity (MOQ) depends on the grade, the packaging and, for private label, on whether custom artwork is involved. Ask whether the MOQ applies per grade or per order, and whether it changes if you use your own packaging.
Price and delivery term
Prices are tied to a delivery term, usually written as an Incoterm. The common ones in charcoal export are:
- FOB (Free On Board). The seller delivers the goods on board the vessel at the port of loading. You arrange and pay for the main freight and insurance.
- CFR (Cost and Freight). The seller pays for freight to your destination port. You carry the risk once the goods are on board.
- CIF (Cost, Insurance and Freight). As CFR, plus the seller arranges minimum insurance.
Always compare quotations on the same term. A lower price on FOB is not lower than a higher price on CIF until freight is added.
Lead time
Ask when the lead time starts: from the order, from payment, or from approval of the reference sample or artwork. For private label, artwork approval often decides the schedule.
Payment terms
Payment terms depend on the order and the relationship. Confirm the deposit, the balance and when each is due, and the payment method.
What happens if the product is off specification
Ask how the quotation handles a batch that falls outside the agreed parameters. The answer tells you how the supplier thinks about quality.
At Aero Charcoal
Minimum order, lead time and payment terms depend on the grade, packaging and destination, and they are confirmed in the quotation and sales agreement. Send your brief with your grade, volume and destination port to start.
